As the number of active projects increased, the Project Management team struggled to consistently monitor tasks stuck in Pending, Review, and other waiting statuses.
There was no automated visibility into how long tasks had remained in a specific status creating delays, follow-up gaps, and operational inefficiencies.

The objective was to build an automated inactivity monitoring system that identifies projects with no time entries in the last 15 working days and immediately notifies the responsible stakeholders. The system eliminates manual tracking, ensures timely follow-ups, and maintains a structured historical log of inactive projects for operational transparency.
The workflow runs automatically every day at 5 AM. It pulls the master project list from Google Sheets and starts scanning active projects without manual intervention.
Only projects marked as “Active” are processed. Completed or archived projects are excluded to ensure focused and efficient monitoring.
The system dynamically calculates the last 15 working days by excluding weekends. This ensures inactivity is measured based on business days, not calendar days.
For each active project, the system checks via API whether any time logs exist within the defined period. If logs are found, the project is skipped; if not, it is flagged as inactive.
Flagged projects are automatically added to a tracking sheet with key details such as Project ID, Name, Owner, Status and Detection Date, creating a historical inactivity record.
Before sending alerts, the system filters only today’s detections and removes duplicates. This prevents repeated notifications for the same project on the same day
Inactive projects are grouped by PC Owner. If ownership details are missing, a fallback owner is assigned to ensure accountability.
For each owner, a structured HTML email is generated containing a summary table of inactive projects with status and direct links for quick action.
The system automatically sends the report to the coordinator and relevant stakeholders, with BCC added for monitoring purposes.
Wait intervals are implemented between API calls and loops to prevent throttling and ensure stable daily execution.
